UP Shifts
Outlook Calendar

Automatically add your UP shifts to your Outlook calendar. Set it up once, then let the flow keep your calendar in sync.

Best done on a computer. Keep this guide open while Power Automate opens in another tab.

The setup

Follow one step at a time

After you click Start setup, Power Automate opens in a new tab and the flow file downloads. Return here whenever you need the next instruction.

    First

    Sign in to Power Automate

    Use your UP / Centre UP Microsoft account. The setup happens inside Microsoft’s website.

    Find the importer

    Open the import screen

    In Power Automate, go to:

    My flows→Import→Import Package (Legacy)

    If you do not see this option, your Microsoft account may not have permission to import flows.

    Use the downloaded file

    Upload the ZIP

    Choose UP Shifts to Outlook Calendar.zip from your Downloads folder.

    Do not unzip the file.Upload the ZIP exactly as it downloaded.

    Choose the import type

    Set up the flow as new

    When Power Automate asks how to import the package, choose Create as new if that option is shown.

    Connect your accounts

    Use these three Microsoft connections

    Connect the first two to your UP account. Outlook can use the same account, or another work/school Microsoft 365 account.

    Want the shifts in a different Outlook calendar?

    Keep Office 365 Users and Shifts for Microsoft Teams connected to your UP account. For Office 365 Outlook only, sign in with the work/school Microsoft 365 account whose calendar should receive the shifts. Gmail, iCloud, and personal Outlook.com accounts are not selected through this connector.

    Finish the import

    Wait for the green checks, then import

    Once all three connections show a green checkmark, click Import. It may take a few seconds.

    One last thing

    Turn the flow on

    After Power Automate confirms the import, open the flow and make sure its status is On.

    DoneYour UP shifts will now synchronize automatically with Outlook.
Optional

Use Apple Calendar?

The automation puts your shifts into Outlook / Exchange first. To display that calendar in Apple Calendar, add your Exchange account:

Settings→Apps→Calendar→Calendar Accounts→Add Account→Microsoft Exchange

Then turn Calendars on.

Quick troubleshooting

Import is greyed out

One or more Microsoft connections is not configured. Look for the connection without a green checkmark.

I can’t find the ZIP

Click Download file again, then check your Downloads folder.

The wrong Outlook account is connected

Change only the Office 365 Outlook connection. Keep the first two connected to your UP account.

The flow imported but nothing is happening

Open the flow and make sure it is turned On.

Power Automate will not let me import

Your Microsoft account may not have permission to create or import flows. Contact UP IT or the person maintaining this tool.
